Summary:
The Office Administrator will provide support for the Chief Development Officer and manage the Foundation Board. Will work closely with the Donor Database and Services Associate, Programs Associates, Cause and Solution team, and Baptist Health's internal financial and accounting departments for gift processing and reconciliation. Other responsibilities will include managing the day-to-day office processes of phone duty, mail, supplies, etc. Staff support at events can occur outside normal business hours, and at times, the Office Administrator will need to be present. This position will report to the Foundation's Chief Development Officer (CDO).
Other information:
At least 2 years of college is required. College graduate is preferred. Minimum of 3 years' experience in office administration, preferably for an executive. A current, valid driver's license and a safe driving record are required. Proficient in Microsoft Office Suite and Google Workspace. Exceptional verbal and written communication skills in response to calls, correspondences, prepared reports, and provided information to employees, donors, and patients. Knowledge of basic accounting and bookkeeping procedures, including billing and invoicing, budget tracking, cash handling, expense report preparation. Excellent attention to detail and strong organizational skills to ensure accurate information. Utilize multitasking and time management skills. Able to lift at least 25 lbs Proven ability to work independently. Work history includes increasing levels of responsibility and accountability. Experience working collaboratively as part of a team. Must have demonstrated ability to work with all demographics and types of backgrounds. Must have demonstrated ability to keep information in strict confidence. Must be able to work some night and weekend events. Commitment to the mission and values of Baptist Health and Baptist Health Foundation. This job will be authorized 640.00 hours bi-weekly.
