The ideal candidate will possess strong leadership skills, exceptional organizational abilities, and proficiency with various productivity tools. As an Office Manager, you will be responsible for coordinating providers schedules, managing office resources, and supporting staff to foster an efficient and welcoming workplace. This role offers an exciting opportunity to contribute to a dynamic organization by maintaining high standards of office management and customer service. Duties Manage daily office operations, 2 locatiions including overseeing clerical tasks, filing systems, and data entry processes to ensure accuracy and efficiency. Coordinate provider calendar management, setting appointment schedules, meetings, and conference room bookings with precision. Maintain office supplies inventory, order necessary materials, and oversee equipment maintenance to support seamless workflow. Utilize software such as Microsoft Office, Google Workspace, QuickBooks, and spreadsheets to prepare reports, documents accurately. Provide excellent customer support by addressing client general inquiries & billing questions promptly and maintaining positive client communication. Assist with Medical record processing, technical proficiency tasks such as proofreading documents, managing spreadsheets, and ensuring overall computer literacy within the team. Implement organizational strategies that improve team productivity and streamline administrative procedures. Experience Proven experience in medical office management or administrative supervisory roles with a minimum of 5 years experience. Strong clerical experience including data entry, filing systems, and document proofreading. Demonstrated proficiency with productivity software such as Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and QuickBooks for bookkeeping purposes. Excellent phone etiquette skills combined with experience handling multi-line phone systems in a busy environment. Bilingual abilities are highly desirable to facilitate effective communication with diverse clients and staff. Familiarity with medical receptionist, referral coordination, scheduling duties and medical assistant responsibilities is required. Strong organizational skills coupled with time management expertise to prioritize tasks efficiently in a fast-paced environment. Technical proficiency in computer literacy including typing speed, spreadsheet management, and document formatting is essential for success in this role.
