Job Description

The office manager oversees daily office operations, manages administrative personnel, coordinates procedures, and ensures the smooth and efficient functioning of the workplace.
Key Responsibilities Managing Office Operations:
Organizing workflows, establishing office procedures, and ensuring administrative systems run smoothly.
Supervising Personnel:
May oversee volunteers and clerical interns.
Facilities and Equipment Management:
Ensures office equipment, furniture, technology, and supplies are functionable -- Arranges repairs, upgrades, and payments.
Administrative Support:
Schedules meetings, manages calendars, greets visitors, handles correspondence, prepares reports, and processes invoices.
Budget and Expense Management:
Tracks expenditures, accounts receivable and payable, manages petty cash, helps to prepare financial reports, and supports budget planning.
Communication and Coordination:
Ensures effective internal communication, manages email accounts, phone systems, and messaging platforms, and liaising with clients, vendors, and stakeholders.
Policy Implementation:
Enforces office policies, health and safety guidelines, and regulatory compliance. Required Skills and Qualifications Strong organizational and multitasking skills to handle multiple responsibilities efficiently. Leadership and problem-solving abilities to manage personnel and resolve operational challenges. Excellent communication skills for interacting with employees, management, and external contacts. Relevant administrative or managerial experience , highly preferred. Familiarity with Quick Books, office software, budgeting, and reporting tools . Notary Public, current or ability to get one, highly desirable. Work Environment Pleasant office setting; open-plan office.
