Office Administrator Luxury Residential Design-Build Firm | In-Office Position | Flagstaff, AZ About the Role Eberson Construction & Remodeling is a luxury design-build firm built on three core values: heart, integrity, and respect . We're looking for a highly motivated Office Administrator who will bring those same values to work every day — someone who takes genuine pride in creating order, solving problems, and taking care of the people around them. This is an in-office role for someone who wants to be the go-to person keeping a busy office organized, efficient, and running smoothly — not someone looking for a quiet desk job. You'll wear multiple hats: office administration, light IT support, vendor coordination, scheduling, and general operational support for a team building some of Flagstaff's premier custom homes. Experience in architecture, interior design, construction, real estate, luxury goods, or another creative/professional environment is a plus — but what matters most is your work ethic, your character, and your instinct to take ownership. What You'll Do Office Administration Manage daily office operations and ensure the studio is organized, welcoming, and fully stocked Order and maintain office, kitchen, and design-related supplies Coordinate office vendors, deliveries, maintenance, and service providers Receive and organize mail, packages, samples, and deliveries Maintain office calendars, contacts, files, and administrative records Assist with scheduling meetings, appointments, and occasional office events Help coordinate travel, errands, and other administrative needs as required Administrative & Operational Support Take ownership of projects and follow through from start to finish Assist leadership and the design team with general administrative projects Maintain organized records, spreadsheets, and databases Coordinate with vendors, consultants, couriers, and other outside contacts Assist with invoices, receipts, expense tracking, and other basic administrative functions Help implement and maintain efficient office procedures and systems Handle confidential information with professionalism and discretion Technology & IT Support Serve as the first point of contact for day-to-day technology and computer issues Troubleshoot basic hardware, software, printer, Wi-Fi, email, and connectivity issues Coordinate with outside IT providers when issues require additional support Assist with employee technology setup, including computers, phones, accounts, and equipment Help maintain organized digital files, shared drives, and office systems Identify opportunities to improve technology and office workflows What We're Looking For A genuine fit with our core values — heart, integrity, and respect — above all else 5+ years of experience in office administration, operations, executive support, or a similar role Strong organizational and time-management skills, with excellent attention to detail and follow-through A resourceful problem-solver who takes initiative rather than waiting to be asked Comfortable troubleshooting technology and learning new software Strong computer skills, including Microsoft Office and/or Google Workspace and AI Excellent written and verbal communication skills A professional, polished, and personable demeanor — you understand the level of service a luxury environment expects Ability to prioritize and manage multiple tasks in a fast-paced environment Ability to work independently while being a collaborative, dependable member of the team Discretion and professionalism when handling confidential information
