Job Description
Charter One works with schools across the country to provide all-inclusive education management services. At Charter One we pride ourselves on our thorough knowledge of charter school operations, academics, finance, human resources, information technology, marketing, and more. We handle the day-to-day work so that client school boards can focus on governance and policy issues to be sure that the vision and mission of the school are being carried out properly. Charter One is now accepting applications for an Office Manager for our district office located in Mesa, AZ . Candidates must possess, or be willing to obtain, a valid Arizona IVP fingerprint clearance card. The Office Manager is the face and operational hub of our office environment. This role is responsible for creating a welcoming first impression for all guests and visitors, keeping day-to-day office operations running smoothly, and providing light administrative support to the broader team. Responsibilities include but are not limited to: Front Desk and Guest Reception; Serve as the first point of contact for all visitors, guests, and incoming calls Greet and direct guests in a warm, professional manner Monitor building access and maintain awareness of who is in the office Manage the executive conference room calendar and coordinate room setup Ensure the reception area is clean, organized, and presentable at all times Office Supplies and Facilities; Order and maintain adequate stock of office supplies and break room supplies for all locations Perform regular stocking and restocking duties as needed Coordinate with IT and building management on office needs and maintenance requests Maintain and update the office seating chart Serve as the general point of contact for day-to-day facilities questions and issues Mail and Errands; Retrieve, sort, and distribute incoming mail and packages daily Prepare and send outgoing mail and shipments Manage document shredding and disposal Run occasional office errands as needed Scheduling and Administrative Oversight; Assist with calendar scheduling and meeting coordination for designated team members Help schedule and confirm appointments, conference calls, and internal meetings Provide general administrative support as requested, including data entry, copying, and filing Receptionist Oversight; Supervise and provide day-to-day direction to front desk receptionist staff Assist with onboarding, scheduling, and training of reception team members Serve as a resource and point of escalation for receptionist questions and issues Other duties as assigned Candidates with the following skills will thrive as part of our growing team: Friendly, professional demeanor with strong interpersonal and communication skills Highly organized with the ability to manage multiple tasks and shifting priorities Reliable, punctual, and self-motivated
Required Qualifications:
High school diploma or equivalent Valid AZ IVP Fingerprint Clearance card 2+ years of experience in office management, receptionist, or administrative support rolePreferred Qualifications:
Experience supervising or mentoring support staff Familiarity with office supply ordering systems or vendor management Experience working in a professional corporate or multi-location office environment We offer a competitive salary that is individually determined based on education and experience.
