Owner / Principal Position Summary Mighty Dog Roofing SE Valley Arizona is seeking an experienced and driven Office Manager to lead and oversee all administrative operations. This role is responsible for ensuring the office runs efficiently, customer experiences are consistently excellent, and operational systems support the growth of the business. The Office Manager owns key administrative, scheduling, financial, and vendor management functions — and may supervise office support staff. The ideal candidate brings strong leadership, exceptional organizational skills, and the ability to make sound decisions independently in a fast-paced environment. Key Responsibilities Office Operations & Systems Management Oversee and continuously improve all day-to-day office operations, workflows, and administrative systems Develop, document, and enforce office procedures and standards to ensure consistency and efficiency Manage office technology, software subscriptions, and supply inventory Identify operational inefficiencies and implement solutions proactively Serve as the primary point of escalation for administrative issues requiring management-level judgment Customer Communication & Experience Oversee customer-facing communications to ensure a professional, responsive, and consistent experience Handle escalated customer concerns and complaints with professionalism and sound resolution skills Establish and maintain communication standards for the office team Monitor customer satisfaction and implement improvements to the customer journey as needed Scheduling & Project Coordination Own and manage the master job schedule, ensuring roofing crews are deployed efficiently and timelines are met Coordinate scheduling across sales, production, and field teams to minimize conflicts and delays Anticipate scheduling challenges and proactively adjust plans to maintain project momentum Communicate schedule updates and changes clearly to all relevant stakeholders Vendor & Materials Management Oversee procurement of roofing materials and supplies, ensuring accuracy, timeliness, and cost-effectiveness Manage vendor and supplier relationships; negotiate terms and resolve order or delivery issues Monitor material costs against budgets and flag variances to ownership Evaluate vendor performance and recommend changes when service or pricing falls short Financial Oversight & Accounting Support Manage invoicing, payment tracking, and accounts receivable follow-up Maintain accurate financial records and support month-end reporting processes Track office and operational expenses against budget; report variances and cost trends to ownership Assist with financial reporting, P&L awareness, and cost management initiatives Liaise with external accountants or bookkeepers as needed Staff Supervision & Development Supervise, train, and support any administrative or office support staff Set clear performance expectations, provide ongoing feedback, and conduct performance check-ins Onboard new administrative hires and ensure they are set up for success Foster a positive, accountable, and collaborative team culture within the office Compliance & Recordkeeping Maintain organized and complete records of customer interactions, job files, contracts, and financial documents Ensure the office operates in compliance with applicable business, licensing, and recordkeeping requirements Support insurance documentation, warranty processing, and permit coordination as needed Qualifications 3-5+ years of experience in an office management, operations, or senior administrative role 1-2 years of supervisory or team lead experience preferred Strong leadership presence with the ability to manage people and processes simultaneously Excellent communication skills — verbal, written, and interpersonal Proficiency in Microsoft Office and comfort with scheduling, accounting, and project management software Experience with QuickBooks or similar accounting platforms Demonstrated ability to manage budgets, vendor relationships, and financial records High attention to detail and a track record of operational accuracy Ability to work independently, make sound decisions, and take full ownership of outcomes Preferred Skills Experience in the roofing, construction, or home services industry Familiarity with roofing project lifecycles, permitting, and materials procurement Experience managing or mentoring administrative staff Strong financial acumen and comfort reviewing P&L statements or budget reports Track record of building or improving office systems and processes from the ground up Experience managing multiple vendors and supplier relationships simultaneously Comfort working directly with ownership to support strategic business decisions
Pay:
$38.00 - $48.00 per hour
