Annual Salary:
$57,000-$61,000 This role is responsible for leading and executing general administrative functions including bookkeeping, human resources donor database management, human resources, donor database management, and office supplies procurement. The Office Manager is a management level position and expected to respect and uphold the dignity of all Justa Center members regardless of where they are on their respective paths. Position Scope of Responsibility Bookkeeping Collect vendor invoices. Submit invoices to the Executive Director for approval. Prepare and submit payments. Pay invoices according to their terms. Work collaboratively with the Executive Director, Board Treasurer, CLA, and independent auditor on timely completion of monthly, annual, and audited financial statements. Serve as Justa Center's primary administrative point person for all banking, investment, and insurance relationships. Oversee cash management including bank deposits. Track restricted grants. Prepare timely reimbursable grant-related activity reports and financial requests. Human Resources Collect bi-weekly staff timesheets. Manage payroll and benefits administration. Assist leadership in furthering Justa Center's positive workplace culture through transparency and respect. Update Employee Handbook and keep it current. Ensure compliance with all Federal, State and Local employer regulations. Manage open enrollment for staff health insurance coverage. Onboard new staff. Conduct exit interviews for departing staff. Develop a template for annual reviews. Serve as point person for staff complaints. Donor Database Management Maintain Keela donor database. Ensure timely and accurate recording of individual, foundation, corporate, faith-based and government donations, grants, and contracts. Generate monthly donor reports for the Executive Director. Oversee donor acknowledgement and delivery of gift receipts. Team and Administrative Responsibilities Order office supplies. Prepare Board meeting packets. Represent Justa Center at select conferences. Other duties assigned with reasonable notice. Qualifications and Experience Bachelor's degree in office management, accounting, finance, or human resources. Firm grasp of basic bookkeeping and human resources principles. Proficient in Microsoft Office software. High comfort level working with databases. Competencies & Attributes Ability to work independently and apply decision making skills. Respect and uphold confidentiality guidelines. Demonstrate an attitude of caring and dignity for the homeless community. Maintain a sense of calm while working in a stressful environment. Take initiative by seeking an increase in responsibilities, developmental growth, and feedback. Work Conditions Work in Justa Center's offices 7 AM-3 PM at 1001 W. Jefferson Street five days and 40 hours per week, with flexibility to occasionally work late while maintaining a work/life balance. Valid Arizona driver license and clean driving record. The working environment may subject staff to behavioral and/or medical problems that could be physically hazardous; ability to lift/carry 10 lbs., ability to move throughout the building frequently; or sit for extended periods of time.
