The ideal candidate will manage daily administrative operations, provide exceptional customer service, and support office functions to ensure smooth and efficient workflow. This role requires strong computer literacy, excellent communication skills, and the ability to handle multiple tasks in a fast-paced environment. Bilingual abilities are a plus, as well as experience with office management and clerical duties. The Office Administrator plays a vital role in maintaining an organized office environment and supporting team members across various departments. Duties Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy Perform data entry, filing, and document proofreading to ensure accuracy and organization Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for correspondence, scheduling, and record keeping Coordinate calendar management and appointment scheduling for staff and clients Handle bookkeeping tasks using QuickBooks or similar accounting software Provide customer support via phone, email, or in person while maintaining excellent phone etiquette Assist with office management tasks such as supply ordering, inventory tracking, and maintaining office equipment Support administrative functions including typing reports, managing correspondence, and supporting personal assistant duties as needed Maintain confidentiality of sensitive information and adhere to organizational policies Qualifications Proven experience in office administration or clerical roles; previous experience as a medical or dental receptionist is a plus Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software Excellent organizational skills with the ability to prioritize tasks effectively Exceptional communication skills both verbal and written; bilingual abilities are preferred Experience with multi-line phone systems and customer service is essential Familiarity with QuickBooks or bookkeeping software is advantageous Attention to detail with proofreading skills and high level of accuracy in data management Ability to handle multiple responsibilities simultaneously while maintaining professionalism and efficiency Previous experience in office management or administrative support roles is desirable This position offers an engaging work environment where your organizational talents will contribute significantly to our company's success.
