We are seeking a highly organized, proactive, and dependable Office Administrator / Manager to support our team in Tempe, AZ. This role is essential to keep our daily operations running smoothly and efficiently. The Role As the Office Administrator / Manager, you will play a central role in our operations. This position requires someone who can multitask, make proactive decisions, and thrive in a fast-paced, dynamic environment. You will be responsible for managing administrative duties, supporting financial processes, and ensuring transparent communication across the team.
Key Responsibilities Accounts Payable & Receivable:
Process invoices, manage billing & purchase orders, and ensure accurate and timely financial record-keeping.
Inventory Management:
Monitor, track, and order office and operational supplies, ensuring we maintain optimal inventory levels at all times.
Shipping & Receiving:
Handle all incoming and outgoing packages, coordinate with couriers, and maintain accurate shipping logs.
CRM Lead Management:
Act as the primary point of contact for incoming leads. Accurately capture, log, and route online and phone leads within our CRM system to ensure prompt follow-up by our sales team.
General Office Management:
Maintain a clean, organized, and welcoming office environment, manage phone lines and general communications, and support the team members with administrative support as needed. Qualifications Proven experience as an Office Administrator, Office Manager, or in a similar operational role. Hands-on experience with Accounts Payable/Receivable and basic bookkeeping software. Familiarity with CRM software and lead tracking. Strong organizational and time-management skills with attention to detail. Excellent verbal and written communication skills. Ability to handle physical tasks associated with shipping, receiving, and inventory.
