Job Description

Job Overview We are seeking a highly organized, detail-oriented, and dependable Office Manager to oversee administrative operations across multiple companies and locations. This position requires someone who can multitask efficiently, maintain confidentiality, manage financial and HR-related responsibilities, and keep operations running smoothly in a fast-paced environment. The ideal candidate is proactive, professional, capable of handling sensitive information, and comfortable managing a wide variety of responsibilities independently. ResponsibilitiesAdministrative & Office Management Manage and respond to company emails Open, organize, scan, and file all incoming mail for multiple locations Maintain organized digital and physical filing systems Update and maintain company procedures, handbooks, and forms Schedule meetings and maintain company calendars Handle all post office and mailing tasks Employee & HR Administration Maintain employee files and upload documentation into company drive systems Track time-off requests, sick requests, reimbursements, and employee updates Ensure all employee training documentation is completed and properly filed Handle HR matters and disciplinary documentation Verify timecards for compliance violations and coordinate payroll corrections Process and file state paperwork including garnishments, levies, child support, etc. Post Indeed ads, review applicants, and coordinate interviews Assist with scheduling employees across multiple locations Oversee and support site managers Accounting & Financial Duties Process and pay company bills Track paid invoices and maintain financial spreadsheets Scan and organize receipts, checks, and supporting financial documents Maintain and update monthly budget spreadsheets Submit monthly financial reports and supporting documentation to bookkeeping Handle refinance documentation and lawsuit correspondence Track reimbursements and maintenance receipts Monitor fleet accounts and prepare quarterly invoices Manage and organize additional personal bill payments as assigned Banking & Compliance Perform banking duties for multiple locations several times per week Prepare deposits, obtain change orders, and maintain deposit records Track and file shift reports and monthly paperwork Ensure compliance requirements are completed for all sites Handle insurance audits, inquiries, renewals, and quote comparisons Ensure property statements and state-required filings are completed timely Property & Operations Management Assist in managing tenants and lease documentation Track rent payments and maintain property spreadsheets Assist in locating and onboarding new tenants Monitor customer complaints and maintain documentation Track inventory-related invoices including chemicals and supplies Coordinate company ordering through Amazon and maintain tracking spreadsheets Pull and analyze daily sales numbers and prepare operational reports Qualifications Previous office management, operations management, or administrative experience Strong organizational and multitasking skills Excellent written and verbal communication skills Experience with spreadsheets, Google Drive, Microsoft Office, and document management Ability to handle confidential information professionally Strong attention to detail and follow-through Ability to work independently and manage multiple priorities Reliable transportation required for banking and site visits Preferred Experience HR administration Payroll support Property management Multi-location business operations Financial tracking and reporting Schedule Part time to begin (this could turn into a full time position in the future)
Pay:
$23.00 - $25.00 per hour
