Job Description

We are seeking a highly organized, proactive, and dependable Personal Assistant to provide comprehensive administrative and operational support to our executive team. This dynamic role involves managing calendars, coordinating projects, handling correspondence, supporting social media and communication tasks, and ensuring smooth day-to-day operations. The ideal candidate is detail-oriented, resourceful, professional, and willing to learn in a fast-paced environment. Strong communication skills, reliability, and the ability to multitask are essential. Responsibilities Executive & Administrative Support Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace Schedule meetings, appointments, travel arrangements, and reminders with accuracy and efficiency Draft emails, correspondence, reports, and internal documents Proofread documents and transcribe notes or meeting summaries as needed Maintain confidentiality while handling sensitive information and communications Organize files, records, and digital documents for easy accessibility Perform clerical duties including filing, photocopying, scanning, faxing, and data entry Assist with bookkeeping tasks using QuickBooks Manage office supplies and help maintain an organized and efficient work environment Handle multi-line phone systems with professionalism and excellent phone etiquette Social Media & Communication Support Assist with scheduling and posting social media content Monitor messages, comments, and inquiries across platforms Coordinate content calendars and support branding initiatives Help organize digital assets, photos, videos, and marketing materials Learn and adapt to new tools, systems, and communication platforms as needed Qualifications & Experience Proven experience as a Personal Assistant or similar support role Strong organizational skills with the ability to prioritize and multitask effectively Excellent written and verbal communication skills Professional demeanor with strong attention to detail Proficiency in: Microsoft Office Suite (Word, Excel, Outlook) Google Workspace (Gmail, Calendar, Docs, Sheets) QuickBooks DocuSign Data entry and document management systems Experience managing calendars, coordinating projects, and handling executive support responsibilities Familiarity with social media platforms Experience with Canva or basic content creation tools is preferred Ability to work independently, stay organized, and meet deadlines in a fast-paced environment Preferred Qualities Reliable and responsive Positive attitude and willingness to learn Strong problem-solving abilities High level of professionalism and discretion Self-motivated with strong time management skills Team player who can adapt quickly to changing priorities Compensation & Benefits Competitive pay based on experience Opportunities for growth and advancement Flexible work environment Supportive and collaborative team culture Valuable hands-on experience working directly with leadership
