Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette. Operate multi-line phone systems to handle inquiries, transfer calls, and provide timely responses. Maintain accurate data entry and filing systems, ensuring all records are organized and easily accessible. Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking. Coordinate calendar management and schedule appointments for staff or executives, ensuring efficient time utilization. Assist with office management duties such as ordering supplies, maintaining equipment, and overseeing general cleanliness. Provide customer support by addressing inquiries via phone or email promptly and professionally. Perform clerical tasks including proofreading documents, managing correspondence, and preparing reports using Microsoft Office and Google Workspace tools. Support medical or dental reception duties as needed, including patient check-in and appointment scheduling. Handle data entry tasks such as updating client information or maintaining databases with accuracy and attention to detail. Experience Proven office experience or administrative background demonstrating familiarity with daily office operations. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Experience using QuickBooks or other bookkeeping software is highly desirable. Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment. Previous customer service experience with strong phone etiquette and interpersonal skills. Bilingual abilities are preferred to facilitate communication with diverse clients or team members. Clerical experience including filing, proofreading, data entry, and managing schedules is essential.
