About Us Faith Driven Wealth Academy is a growing financial services agency dedicated to helping families protect their financial future while developing successful insurance professionals. We are looking for a highly organized, detail-oriented Licensing Coordinator who thrives in a fast-paced environment and takes ownership of their work. This is not an entry-level administrative role for someone who needs constant direction. We're looking for someone who is proactive, resourceful, and able to follow established systems while identifying what needs to be done without being micromanaged. Position Summary The Licensing Coordinator is responsible for supporting our agents throughout the licensing and onboarding process while ensuring all administrative tasks are completed accurately and efficiently. This person will communicate regularly with agents, assist with licensing requirements, maintain databases and CRM systems, and help keep our operations running smoothly. The ideal candidate is professional, confident on the phone, comfortable holding others accountable, and able to communicate clearly with both agents and clients. Responsibilities Coordinate the licensing and onboarding process for new agents Follow up with agents regarding required documents, deadlines, and outstanding tasks Answer incoming calls and make outbound follow-up calls Communicate professionally with clients, agents, and carrier partners Maintain accurate records in CRM and internal systems Update and manage Google Sheets and tracking reports Assist with scheduling, appointments, and office administrative tasks Monitor licensing progress and ensure compliance with required timelines Help improve and maintain organized workflows and processes Perform general office support as needed Work collaboratively with leadership while managing daily responsibilities independently Qualifications Bilingual in English and Spanish (required) Excellent verbal and written communication skills Strong attention to detail and organizational skills Highly self-motivated with the ability to work independently Able to follow processes while using sound judgment and problem-solving skills Comfortable having professional, direct conversations and holding others accountable when necessary Confident speaking on the phone with clients and agents Strong computer and technology skills Proficient with Google Workspace, including Google Sheets and Google Docs Experience working with CRM systems required Experience with Monday.com is a plus Previous experience as an administrative assistant, office assistant, coordinator, executive assistant, or similar role preferred Ability to prioritize multiple tasks in a fast-paced environment Reliable, dependable, and punctual Positive attitude with a high level of professionalism Requirements Available to work 12-20 hours per week Flexible schedule Available to work one Saturday per month Must be able to obtain a California Life Insurance License within the first 90 days of employment (training and guidance provided) Must be comfortable learning new technology and software platforms What We're Looking For We're looking for someone who: Takes initiative Notices details that others miss Enjoys creating organization and structure Learns quickly and adapts to new systems Communicates with confidence and professionalism Can remain friendly while being firm when enforcing processes and deadlines Represents our company with integrity and excellent customer service If you're someone who enjoys keeping things organized, loves helping people succeed, and wants to grow with a fast-growing company, we'd love to hear from you.
