Job Description

Job Overview We are seeking a highly organized and team-spirited Hospice Office Manager to lead and oversee the daily operations of our hospice offices. This vital role involves managing administrative functions, ensuring compliance with Medicare regulations, supervising staff, and maintaining efficient office workflows. The ideal candidate will be extremely knowledgeable in hospice workflow while also passionate about providing compassionate end-of-life care, demonstrating strong leadership, financial acumen, and expertise in medical office management. Duties Oversee all administrative operations within the hospice office, including scheduling, patient records, and billing processes Supervise administrative staff, including medical administrative support personnel, ensuring smooth workflow and high-quality service Manage fiscal responsibilities such as budgeting, financial management, and resource allocation to ensure operational efficiency Ensure compliance with healthcare regulations such as
HIPAA, CMS
standards, and CDPH state licensing requirements Coordinate with nursing staff, physicians, and other healthcare providers to facilitate seamless patient care delivery upon admission Utilize electronic health record (EHR) systems with Hospice MD to maintain accurate medical records and documentation with QA and pre-billing Oversee medical office functions including medical terminology accuracy, medical records management, and utilization management processes Implement human resources policies related to staff hiring, training, performance evaluations, and employee relations Monitor clinic operations related to acute care and hospice-specific protocols to ensure quality standards are met or exceeded Conduct regular audits of medical records and billing practices to uphold compliance with HIPAA and managed care guidelines Respond to triage and office lines with compassion and resolution Monday - Friday 8am until 5pm Requirements Proven experience in medical office management or healthcare administration within a hospice or similar setting Strong supervisory skills with experience managing teams in a healthcare environment Extensive knowledge of fiscal management including budgeting, financial planning, and resource allocation Proficiency with EMR/EHR systems such as Epic, eClinicalWorks, Dentrix or Eaglesoft; familiarity with hospital or clinic management software is a plus Background in nursing or acute care is highly desirable; clinical experience enhances understanding of patient needs Familiarity with healthcare regulations including HIPAA compliance and ACHC accreditation standards Excellent organizational skills with attention to detail in managing medical records and pre-billing processes Ability to communicate effectively across multidisciplinary teams and with external partners Knowledge of managed care processes and utilization management practices in hospice settings Join our team as a Hospice Office Manager where your leadership will directly impact the quality of end-of-life care.
