This role is responsible for overseeing daily office operations, supervising a small team, and ensuring smooth administrative, customer service, and financial support across all departments.
Key Responsibilities:
Supervise a team of 3-4 office personnel handling customer service, invoicing, reception, and administrative tasks. Support managers and employees across departments, ensuring consistent application of company policies and procedures. Partner with the Safety Coordinator to support safety programs, compliance, and training initiatives. Provide administrative support for Accounts Receivable, Inventory, Cost of Goods Sold, and Purchasing. Assist in coordinating production-related activities and maintain communication with plant management. Ensure timely and professional responses to customer inquiries, maintaining high service standards. Maintain confidentiality and professionalism in handling sensitive employee, financial, and customer information. Foster positive relationships across all levels of the organization. Identify and implement process improvements to enhance efficiency in HR, administrative, customer service, and finance functions. Perform other related duties and special projects as assigned.
Requirements:
Bachelor's degree in Business Administration or related field preferred. 3-5 years of progressive experience in office management, customer service, or administrative operations; exposure to accounting or logistics preferred. Previous supervisory experience in customer service or finance preferred. Proficiency in Microsoft Office (Word, Excel, Outlook, Project, Access). Bilingual in English/Spanish strongly preferred.
