This pivotal role involves managing daily office operations, coordinating administrative tasks, and ensuring seamless communication across departments. The ideal candidate will bring energy, efficiency, and a proactive attitude to support our organizational goals. Your expertise in office management, vendor relations, and team coordination will help create a productive and welcoming environment for staff and visitors alike. Key Responsibilities Oversee daily office operations, including front desk management, multi-line phone systems, and scheduling for providers, executives, and staff Manage patient check-in/check-out, appointment coordination, and follow-ups Maintain accurate patient records and ensure HIPAA compliance Coordinate meetings, training sessions, and company events to ensure smooth execution Supervise administrative staff and support training and development initiatives Handle HR-related functions including onboarding/offboarding, and employee records Monitor office supplies inventory and ensure a clean, professional environment Assist with patient communication, marketing efforts, and promotions Qualifications Proven experience in office administration, office management, or medical front office roles Bilingual fluency in English and Chinese (written and spoken) Strong organizational and multitasking abilities in a fast-paced environment Excellent communication skills with professional phone etiquette Proficiency in Microsoft Office and scheduling systems (EMR experience a plus) Ability to handle confidential information with discretion Preferred Skills Experience in a medical, aesthetic, or dermatology practice Event planning and vendor management experience Familiarity with HR processes and medical office workflows Opportunities for professional growth and advancement
