Office Administrator La Verne Church of the Brethren La Verne, CA Job Details Full-time $20 - $25 an hour 6 hours ago Benefits Health insurance Dental insurance Paid time off Retirement plan Qualifications High school diploma or GED Clerical experience Video conferences (communication methods) Full Job Description Job Overview With an understanding and internalization of the mission of the church, the Office Administrator manages the day to day operations of the church, including serving as the first point of contact in the church office and providing comprehensive clerical and administrative support to the pastoral staff and lay leadership. As the sole administrative staff member, this role requires exceptional organizational skills, proactive problem-solving, and a hospitable and welcoming presence to ensure the many aspects of the church runs smoothly.
Essential Duties :
This position is responsible for the day-to-day administration of the church and clerical support to the ministerial staff. Such duties may include, but are not limited to the following: 1. Greet and direct church members, visitors, and vendors 2. Maintain, organize and keep current databases of members and their participation in leadership roles and other church-related activities, as well as databases of pledges, contributions, and church giving, and disseminate quarterly statements to members 3. Work with the financial team to ensure the completion of necessary paperwork for annual compensation letters, pension, payroll, and insurance for employees 4. Input and reconcile the weekly giving provided by financial personnel 5. Prepare check requests, file bills, and manage petty cash 6. Oversee the use of the church credit card, including the collection of receipts and balancing of statements 7. Oversee IT needs, update social media platforms, maintain the congregational website, coordinate Zoom meetings, maintain the church's master calendar, and maintain the online church directory/database (Breeze) 8. Coordinate payments and necessary logistics for guest music professionals for church programs and events 9. Onboard new staff 10. Supervise the custodial staff 11. Communicate with and provide administrative support for pastors, other staff, and commissions 12. Prepare regular reports as requested by staff and other church leadership, including statistical and financial reports 13. Maintain digital and hard copy files of the minutes and records of church commissions, board meetings, and council meetings 14. Prepare text, graphics, and links for the church email newsletter, and disseminate through mass email, hard copy version, and posting on the website 15. Maintain a variety of personnel records, including material of a confidential nature and what is necessary for compliance with the church's Child Protection Policy 16. Record and track vacation, sick, personal, and continuing education days for staff and pastors 17. Schedule and facilitate internal building usage in conjunction with staff needs 18. Coordinate external facility use and rental, including invoicing and necessary staff (custodial, audio/video, childcare) coverage 19. Work with CCLI (Christian Copyright Licensing International) database for the use of music in worship (accessing the music license and reporting its use) and ensure the copyright information is listed correctly, as needed 20. Process incoming and outgoing mail, and completes written correspondence as necessary and directed 21. Answer phone calls and distribute messages 22. Create, print, fold and distribute the Sunday and special event bulletins 23. Order and maintain office supplies and equipment 24. Coordinate office coverage for vacations 25. Propose new office processes and procedures as appropriate 26. All other duties as assigned.
QUALIFICATIONS
➢ High School Diploma or equivalent. Associate or Bachelor's degree preferred. ➢ At least 2-3 years of general office experience with sufficient training and experience to demonstrate the knowledge, skills and abilities to perform the tasks of the position.
