This energetic and detail-oriented position offers an exciting opportunity to oversee daily office activities, coordinate events, manage staff, and maintain a welcoming environment for our fencing enthusiasts. As the Office Manager, you will be the backbone of our club's administrative success, fostering a positive atmosphere that promotes growth, organization, and community engagement. Responsibilities Manage daily office operations, including front desk duties, multi-line phone systems, and greeting visitors with professionalism and warmth. Coordinate and plan club events such as tournaments, training sessions, and community outreach programs to boost member engagement. Oversee scheduling for classes, private lessons, and special events using calendar management tools to ensure optimal use of facilities and staff. Supervise administrative staff and volunteers, providing training and development opportunities to enhance team performance. Handle vendor management by coordinating supplies procurement, equipment maintenance, and service contracts to ensure seamless club operations. Maintain accurate bookkeeping records using QuickBooks or similar accounting software for billing, payroll processing, and expense tracking. Manage human resources functions including employee records, payroll administration, and compliance with employment policies. Oversee budgeting processes to allocate resources effectively while monitoring expenses to stay within financial plans. Ensure proper filing systems are maintained for club records, memberships, medical documentation (if applicable), and other essential documents. Qualifications Proven experience in office management or administrative roles within a busy environment such as medical offices or sports clubs. Strong organizational skills with the ability to multitask efficiently in a fast-paced setting. Excellent communication skills with a professional phone etiquette and customer service orientation. Familiarity with QuickBooks or comparable bookkeeping/accounting software is highly preferred. Experience in event planning and coordinating large or small-scale activities is desirable. Supervisory experience managing teams or staff members is essential for effective leadership. Knowledge of vendor management, budgeting, payroll processing, and human resources practices is advantageous. Ability to handle clerical tasks such as filing, data entry, and calendar management accurately. Competence in managing multi-line phone systems and front desk operations with professionalism.
