Job Description

Position Summary The Office Manager oversees daily administrative operations to ensure the office runs efficiently and smoothly. This role supports leadership, coordinates office activities, manages administrative staff (if applicable), and maintains a productive, well‑organized work environment. The ideal candidate is proactive, detail‑oriented, and skilled at balancing multiple responsibilities. Key Responsibilities Office Operations & Administration Oversee day‑to‑day office operations and ensure a professional, organized, and safe work environment. Manage office supplies, equipment, vendor relations, and maintenance/service requests. Coordinate mail, shipping/receiving, and document management processes. Implement and maintain office policies, procedures, and standards. Administrative Support Provide administrative support to leadership, including scheduling, calendar management, and meeting coordination. Prepare reports, presentations, and correspondence as needed. Maintain confidential employee, vendor, and company records. Communication & Coordination Serve as the primary point of contact for internal teams, external visitors, and vendors. Coordinate meetings, events, and office gatherings. Assist with onboarding processes for new employees, including workspace setup and training coordination. Financial & Operational Support Assist with budgeting, invoice processing, expense reporting, and vendor payments. Track office‑related expenditures and identify cost‑saving opportunities. Collaborate with HR, IT, and Finance teams to support operational needs. Facilities & Safety Oversee facility access, security badges, and visitor management. Maintain compliance with health, safety, and emergency procedures. Liaise with building management on facility‑related matters. Qualifications Education & Experience Bachelor's degree. 3-5 years of office administration or office management experience. Prior experience supporting leadership or managing small teams (preferred). Skills & Competencies Strong organizational and time‑management skills. Excellent written and verbal communication abilities. Proficient in Microsoft 365 and general office technology. Ability to multitask and prioritize in a fast‑paced environment. High level of professionalism, discretion, and reliability. Problem‑solving and decision‑making abilities. Job Type & Location This is a Contract to Hire position based out of Lake Forest, CA. Pay and Benefits The pay range for this position is $34.00 - $44.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment. Benefits are subject to change and may be subject to specific elections, plan, or program terms. If eligible, the benefits available for this temporary role may include the following:
