Job Overview We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our busy office environment. This vital role ensures smooth administrative workflows, exceptional customer service, and efficient management of office resources. The ideal candidate will be proactive, detail-oriented, and possess strong leadership skills to foster a productive and welcoming workplace. Your energy and enthusiasm will drive our office's success, creating a positive experience for staff, clients, and visitors alike. Responsibilities Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing excellent customer support with professional phone etiquette. Oversee administrative functions such as data entry, filing, proofreading documents, and maintaining accurate records using Microsoft Office and Google Workspace tools. Coordinate calendar management and scheduling for meetings, appointments, and events while ensuring optimal time management for staff. Handle bookkeeping tasks using QuickBooks or similar accounting software to support billing, invoicing, and expense tracking. Supervise clerical staff and delegate office management duties to ensure efficient workflow across departments. Maintain office supplies inventory, organize filing systems, and ensure the office environment remains organized and professional. Provide exceptional customer service at the front desk by addressing inquiries promptly and professionally while supporting medical or dental receptionist duties if needed. Qualifications Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and computer literacy essential for daily operations. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Strong communication skills in both English and bilingual capabilities to serve diverse client needs. Experience with multi-line phone systems, data entry, filing systems, and calendar management is required. Knowledge of QuickBooks or bookkeeping experience is highly desirable. Prior experience as a receptionist (medical or dental) or personal assistant is a plus; familiarity with phone etiquette and customer support best practices is essential.
