Job Description

Job Overview We are seeking a highly organized and detail-oriented Office Manager / Operations Administrator to support a fast-paced logistics, warehousing, trucking, and import operation in Southern California. This role serves as a key cross-functional coordinator between accounting, HR, operations, compliance, and executive management. The ideal candidate will possess strong accounting and administrative experience, practical HR knowledge, excellent communication skills, and the ability to manage multiple priorities across departments. Experience in trucking, logistics, import/export, or supply chain operations is strongly preferred. This position will work closely with both U.S
  • based leadership and the company's overseas accounting team in Vietnam, requiring strong communication, organization, and follow-through across international operations.
RESPONSIBILITIES
Accounting & Financial Administration
  • Manage day-to-day accounting support functions
  • Assist with financial planning, budgeting, reporting, and expense tracking
  • Coordinate invoicing, AP/AR support, reconciliations, and vendor management
  • Support U.S. and Canadian tax filing coordination
  • Maintain organized financial and operational records
  • Assist ownership and leadership with financial analysis and reporting HR & Administrative Support
  • Support onboarding, employee documentation, and personnel file management
  • Assist with HR compliance and administrative processes
  • Coordinate training records, certifications, and company documentation
  • Support benefits administration and employee communications
  • Maintain confidentiality regarding employee and company information Licensing & Compliance
  • Manage and track business licenses, permits, and regulatory renewals
  • Coordinate miscellaneous county and municipal licensing requirements throughout Southern California
  • Maintain compliance documentation and filing schedules
  • Assist with insurance, permits, and operational recordkeeping Cross-Departmental Coordination
  • Act as a communication hub between accounting, warehouse operations, trucking, HR, and management
  • Collaborate daily with the company's accounting department in Vietnam while maintaining standard U.S. day-shift working hours
  • Coordinate projects and follow up on action items across departments
  • Help streamline office procedures and organizational systems
  • Maintain calendars, schedules, and administrative workflows
REQUIRED EXPERIENCE
  • 3-5 years of high-level accounting or financial administration experience
  • 2-5 years of HR or personnel administration experience
  • Strong organizational and multitasking abilities
  • Exceptional attention to detail
  • Experience handling confidential business and employee information
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office Suite, especially Excel Preferred Qualifications
  • Bilingual in English and Vietnamese
  • Experience in trucking, logistics, warehousing, import/export, or supply chain industries
  • Experience coordinating U.S. and Canadian tax filings
  • Familiarity with operational licensing and regulatory compliance
  • Experience supporting executive leadership or multi-department operations
  • Experience working with overseas teams or international business operations
  • Comfortable collaborating across time zones and multicultural teams Desired Traits

This position operates in a logistics and warehouse environment supporting multiple business functions including warehousing, trucking, import operations, accounting coordination, and administrative management.
Pay:
$75,000.00
  • $85,000.
