Job Description

Job Overview We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the heartbeat of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and attention to detail will support various administrative functions, coordinate communication, and foster a welcoming environment for staff, clients, and visitors alike. DUTIES AND RESPONSIBILITIES
  • Politely answer all incoming calls and transfer to appropriate employee.
  • Maintain the cleanliness of the kitchen and replenish supplies as needed.
  • Administration support
  • Secretarial Support (correspondence etc.)
  • Collect, post and distribute mail and deliveries
  • General Filing (Tenant files and Accounting)
  • Update list of incoming checks daily and send to leasing department
  • Maintenance of the postage meter
  • Maintain Fed-Ex log book
  • Run company errands; as needed
  • Continuously update the Front Desk Manual
  • Update property binders/floorplans as tenants turnover
  • Maintain abstracts of leases and update as amendments are received
  • Update contact list with contact information
  • Other duties as may be assigned from time to time

SKILLS AND ABILITIES
  • Excel, Word, and Outlook Software
  • Ability to project a positive and friendly company image via phone voice and in person
  • Ability to work both independently and as part of a team
  • Ability to deal with all levels of staff within the company
  • High level communication and interpersonal skills
  • Ability to promote teamwork among employees in order to accomplish goals and to meet the needs of customers
  • Ability to comprehend details in various situations in order to make decisions
  • Ability to adhere to company policies and procedures
QUALIFICATIONS A
High School Diploma or GED and a minimum of 2 years related experience or the equivalent combination of education and experience.
SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities

  • Ability to occasionally walk, stand, stoop, kneel, crouch, and reach with hands and arms
  • Ability to occasionally lift and carry up to 20 pounds (periodic lifting of supplies)
