- $70,540 a year 1 day ago Benefits Health insurance Dental insurance Parental leave Employee assistance program Vision insurance Life insurance Qualifications Confidential information handling Customer service Executive administrative support Driver's License Bachelor's degree Financial record maintenance QuickBooks Organizational skills Financial accounting Productivity software Office management University experience Full Job Description United Faculty of Contra Costa Community College District (UF of 4CD) Operations and Office Administrator Position Summary United Faculty (UF), the exclusive bargaining representative for faculty in the Contra Costa Community College District (4CD), seeks a highly organized, detail-oriented, and collaborative Operations & Office Administrator to oversee daily operations of the UF office and provide confidential administrative, financial, and organizational support to UF leadership and Executive Board.
FINANCIAL MANAGEMENT & BOOKKEEPING
- Manage bookkeeping, payroll, taxes, reimbursements and deposits
- Prepare monthly, quarterly, and annual financial reports
- Coordinate audits, prepare W-2s, 1099s, year end reports, budget and maintain all financial records
OFFICE ADMINISTRATION
- Manage daily office operations, files, records, contracts, calendars and communications
- Maintain organizational records, contracts, memberships, etc.
- Coordinate purchasing, employee onboarding, meetings and office logistics
ADMINISTRATIVE SUPPORT
- Support the President, Executive Director, Executive Board and Negotiations Team
- Prepare agendas, minutes, union correspondence and meeting materials
- Coordinate conferences, travel, scheduling, special UF Projects
- Maintain and update UF website
MEMBERSHIP, ELECTIONS & COMMUNICATIONS
- Manage memberships, dues, records and lists
- Coordinate elections, membership surveys and data collection
- Prepare FPPC reports and maintain compliance
MINIMUM QUALIFICATIONS
- Bachelor's degree from an accredited college or university
- Bookkeeping/payroll experience
- QuickBooks, Microsoft Office and other standard office software proficiency
- Strong organizational, customer service, and time-management skills
- Excellent communication and organizational skills
- Ability to maintain confidentiality and exercise sound professional judgment
- California Driver License
PREFERRED QUALIFICATIONS
- Ability to work independently, prioritize multiple projects, and meet deadlines
- Experience working in a labor union or nonprofit
- Community college and/or higher ed experience
- Website management skills; Canva design skills
- Contract interpretation and research
- Ability to independently research, summarize and organize information
S SALARY & BENEFITS
- Salary placement between $57,580
- 70,540 annually based on experience; annual step increases
- Medical, dental, vision, EAP, life insurance and parking
- 8% employer SEP-IRA contribution
- The Operations and Office Administrator observes all District holidays and scheduled campus closures without using vacation leave
- Additional benefits include:
- Two weeks paid vacation during the first year
- Three weeks paid vacation after successful completion of probation period
- Annual vacation increases as approved by the UF President and Executive Board
- Sick leave, personal necessity leave, parental leave, and other leave benefits comparable to those provided to 4CD employees
