Job Description
Job Overview We are seeking an experienced and motivated Office Manager to oversee the daily operations of a busy medical office. The ideal candidate will be a strong leader who is organized, dependable, professional, and able to effectively manage staff while maintaining a high standard of patient care and customer service. The Office Manager will serve as a key point of contact for staff, providers, and patients and will be responsible for ensuring the office operates efficiently, professionally, and in accordance with company policies and procedures. Duties Oversee the day-to-day operations of the medical office. Supervise, support, and hold staff accountable for their assigned responsibilities. Provide leadership and guidance to front office and clinical support staff. Monitor staff performance, attendance, productivity, and adherence to company policies. Assist with staff scheduling and ensure appropriate office coverage. Address patient concerns and complaints professionally and effectively. Assist with patient escalations and de-escalation of difficult situations. Ensure patients receive excellent customer service and a positive experience. Work closely with physicians and clinical staff to address operational concerns. Monitor patient flow, check-in/check-out processes, and scheduling efficiency. Ensure staff follow proper procedures for insurance, authorizations, referrals, and patient documentation. Assist with training and onboarding of new employees. Identify workflow issues and implement solutions to improve office efficiency. Maintain a professional, organized, and welcoming office environment. Communicate operational updates, expectations, and policy changes to staff. Assist with performance coaching and corrective action when necessary. Ensure compliance with company policies, procedures, and applicable healthcare regulations. Monitor office supplies, equipment, and other administrative needs. Work collaboratively with upper management to meet operational goals and improve overall office performance. Qualifications Minimum 2 years of medical office management or supervisory experience preferred. Previous experience in a physician practice, specialty clinic, or healthcare setting strongly preferred. Strong leadership and interpersonal skills. Excellent verbal and written communication skills. Ability to manage multiple priorities in a fast-paced environment. Strong problem-solving and decision-making abilities. Professional demeanor with excellent patient service skills. Ability to handle confidential and sensitive information appropriately. Strong organizational and time-management skills. Proficiency with electronic health records (EHR) and common office software. Experience with staff scheduling, training, and performance management. Ability to remain calm and professional when handling difficult patients or challenging staff situations. Must be dependable, accountable, and comfortable taking initiative. Bilingual skills are a plus. Join our team! Pay:
