  • Full-time Position Summary The Office Administrator will be responsible for overseeing the day-to-day administrative tasks and office operations while supporting HR functions such as recruitment, employee relations, and labor law compliance.
This role requires an individual who is highly organized, detail-oriented, and able to multitask in a fast-paced environment. The ideal candidate will have strong communication skills, be a problem-solver, and have a passion for creating a positive workplace culture. Job Responsibilities Office Administration Manage office supplies, inventory, and vendor relationships to ensure the office is well-stocked and fully operational. Serve as the primary point of contact for all office-related inquiries, ensuring efficient and effective communication across the team. Take ownership of office events, meetings, and team-building activities from initiation through completion. Handle incoming calls, emails, and mail, directing them to appropriate staff members when necessary. Assist with travel arrangements, scheduling, and calendar management for team members as needed. Maintain office organization, cleanliness, and safety standards. Coordinate with outside vendors and building facilities as needed. Assist with travel logistics for field employees. Maintain office contact lists and distribute as necessary. Archiving and digitizing project paperwork. Ownership of maintaining COIs, contracts and other related files. Other tasks as assigned. Human Resources Assist with recruitment efforts, including posting job openings, screening resumes, scheduling interviews, and communicating with candidates. Support onboarding processes, including preparing orientation materials and ensuring new hires have everything they need for a smooth transition. Assist in maintaining employee records, ensuring all information is up to date and compliant with company policies and legal requirements. Maintain employee training records from the Learning Management System (LMS), client required training, site specific and other required training. Stay informed on labor laws and HR best practices to ensure compliance with state and federal regulations. Under the supervision of the HR Manager, assist with recurring and ad-hoc audits. Coordinate drug testing and maintain various testing pools across the company. Other HR responsibilities as assigned Minimum Qualifications Bachelor's degree in business administration, Human Resources, or related field Minimum 2-3 years of office administration experience, with at least 1 year of HR experience in California. Experience with Microsoft Office (Excel, Word, and Outlook) Must possess a valid driver's license and current auto insurance with state required minimum coverage. Preferred Qualifications Experience with Paycom preferred.
