Job Description
Job Summary We are seeking a dynamic and organized Assistant Office Manager to join our team! In this vital role, you will support the smooth operation of the office by overseeing administrative functions, managing schedules, coordinating vendor relationships, and assisting with human resources and bookkeeping tasks. Your proactive approach and excellent communication skills will help foster a productive, efficient, and welcoming work environment. This position offers an exciting opportunity to develop your leadership abilities while contributing to the overall success of our organization. Duties Assist in managing daily office operations, ensuring all administrative tasks are completed efficiently and accurately Coordinate and oversee scheduling for staff, meetings, and appointments using calendar management tools Support human resources functions including onboarding, training & development, and maintaining employee records Oversee bookkeeping activities such as invoicing, filing financial documents, and utilizing QuickBooks for financial tracking Assist with event planning for company meetings, training sessions, and special events to ensure seamless execution Requirements Proven experience in office management or administrative roles with strong organizational skills Supervising experience demonstrating leadership capabilities and team management skills Proficiency in QuickBooks for bookkeeping and payroll processing Excellent communication skills, both verbal and written, with a professional phone manner Strong scheduling management abilities Knowledge of vendor management practices and vendor relationship building Experience in human resources functions such as onboarding, training & development, and employee record keeping Familiarity with medical office management or healthcare-related administrative tasks is a plus Ability to handle multiple priorities efficiently in a fast-paced environment Attention to detail in filing, record keeping, and office procedures We are seeking a motivated and dependable Assistant Manager to support daily operations and help lead our team to success. This role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and is passionate about delivering excellent patient care. Qualifications Previous supervisory or leadership in healthcare experience preferred Strong communication and interpersonal skills Ability to multitask and stay organized under pressure Problem-solving mindset with attention to detail Flexible schedule, including weekends and holidays if needed Bilingual, in Spanish required
