Purpose:
The Office Administrator provides administrative and operational support to both the Sales and Service Departments, working closely with Service Advisors, Sales personnel, and Management. Responsibilities include, but are not limited to, maintaining efficient office operations, processing and closing work orders, coordinating company vehicle maintenance, managing records and documentation, supporting customer communications, preparing reports, and assisting with daily administrative functions. The ideal candidate is organized, detail-oriented, and able to effectively support multiple departments in a fast-paced environment.Summary of Duties:
Administrative Support- Support managers, supervisors and staff with reporting and administrative tasks.
- Maintain office records, files, reports, and documentation.
- Manage incoming calls, emails, and administrative requests.
- Manage office inventory and coordinate with vendors to ensure timely procurement and delivery of uniforms, office supplies, and other operational materials.
- Assist with scheduling meetings, training, and other departmental activities. Sales & Service Support
- Review work orders for accuracy and completeness.
- Close work orders according to procedures.
- Monitor open work orders and assist with timely completion. Fleet Management
- Schedule maintenance and repair appointments for company vehicles.
- Track vehicle maintenance records, registrations, and service intervals.
- Coordinate with vendors to ensure timely vehicle servicing. Communication & Coordination
- Provide professional phone and email support to customers, vendors, and internal teams.
- Coordinate information and documentation between departments.
Experience, Education, Skills and Knowledge:
- High school diploma or equivalent required.
- Minimum 2 years of administrative, office support, or related experience preferred.
- Proficient in Microsoft Office, including Outlook, Word, Excel, and Teams.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent verbal and written communication skills.
- High attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Ability to maintain confidentiality and handle sensitive information professionally.
