Job Description
We are seeking a reliable, detail-oriented, proactive, and highly organized Bilingual Office Administrator to join our team. The ideal candidate is fluent in English and Spanish , comfortable working in a fast-paced environment, and able to commute to our office to support daily operations. This position plays an important role in keeping our office organized, our customers supported, and our field service team operating efficiently. We're looking for someone who takes initiative, communicates professionally, pays close attention to detail, and can confidently manage multiple priorities throughout the day. Key Responsibilities Include, but are not limited to: Answer incoming calls, assist customers professionally, and direct inquiries to the appropriate team members. Schedule, coordinate, and dispatch service appointments efficiently and accurately. Monitor and manage the daily dispatch board, prioritizing and adjusting jobs as needed. Communicate with customers, technicians, and internal departments to ensure appointments and service needs are handled promptly. Provide administrative and back-office support to team members, including assisting with overflow tasks during busy periods. Review technician invoices daily for accuracy, completeness, grammar, and spelling before processing. Ensure completed invoices and documents are processed promptly and prepared for customer delivery. Create, update, and maintain accurate customer, technician, and job records. Verify information and identify discrepancies or missing details before processing paperwork. Coordinate with internal departments to ensure company policies, procedures, and administrative requirements are followed. Perform general office duties, including filing, data entry, document organization, scanning, and maintaining accurate records. Assist with improving office organization, workflow, and administrative processes. Maintain confidentiality and professionalism when handling customer and company information. Take on additional administrative responsibilities as needed to support the overall team. Skills & Qualifications Bilingual in English and Spanish — required. Previous experience in an office administrator, administrative assistant, back-office, dispatch, customer service, or similar role. Excellent verbal and written communication skills. Strong English grammar, spelling, and attention to detail. Exceptional organizational and time-management skills. Ability to multitask, prioritize competing responsibilities, and meet deadlines. Strong problem-solving and critical-thinking abilities. Comfortable working independently while also collaborating effectively with a team. Proactive mindset with the ability to identify what needs to be done without constant supervision. Strong computer and data-entry skills. Ability to learn new software, systems, and company procedures quickly. Professional, dependable, adaptable, and customer-focused. During the training period, candidates must be available to train in-office Monday through Friday, 8:00 AM-4:00 PM , until they are deemed ready to transition to the regular work schedule.
