Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems to handle inquiries, transfer calls, and provide exceptional customer service Maintain organized filing systems, data entry, and accurate record keeping using tools like Microsoft Office and Google Workspace Support office management tasks including calendar management, appointment scheduling, and coordinating meetings Assist with bookkeeping duties utilizing QuickBooks or similar accounting software to ensure accurate financial records Perform clerical duties such as proofreading documents, preparing correspondence, and managing office supplies Provide customer support by addressing inquiries promptly and professionally via phone or email Requirements Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Familiarity with QuickBooks or other bookkeeping software is preferred Excellent phone etiquette and ability to manage multi-line phone systems efficiently Bilingual abilities are a plus to serve diverse client needs effectively Strong typing skills with high accuracy and attention to detail for data entry and proofreading tasks Experience in customer service or medical/dental receptionist roles is advantageous Demonstrated time management skills with the ability to prioritize tasks in a fast-paced environment Personal assistant experience or office management background is highly desirable Join us as an Office Administrator and become a key player in creating an organized, welcoming, and productive workplace!
