Company Match Required Qualifications:
3+ years in dispatch or call center operations within the home service industry Strong working experience with ServiceTitan (dispatch & scheduling required) Ability to quickly evaluate schedules and prioritize calls Steady, organized leadership style with strong communication skills Ability to coach, support, and hold office staff accountable Calm under pressure and comfortable in a fast-paced environment
Preferred Qualifications:
Experience in a residential service company ($3M•10M range) Bilingual (English/Spanish) Prior experience training or developing CSRs/dispatchers Familiarity with Bay Area traffic patterns and service zones
Position Summary:
Magic Plumbing, Heating & Cooling is hiring an Office Manager with a $70K•90K base + performance bonuses to oversee scheduling, dispatching, and customer coordination in a fast-paced residential plumbing and HVAC environment. You'll manage the dispatch board, support CSRs/dispatchers, and ensure efficient routing for productive techs and timely service . The ideal candidate brings 3+ years in dispatch or call center roles , strong ServiceTitan experience, and excels at leading, coaching, and staying calm under pressure. This role is key to operations and offers stability, growth, and the chance to take pride in keeping everything running right .
Core Responsibilities:
Manage and adjust the ServiceTitan dispatch board (routing, zoning, capacity, technician assignment) Supervise, support, and train CSRs and dispatchers Improve booking rates, call flow, and customer communication Minimize dropped calls, scheduling conflicts, and technician downtime Lead daily short check-ins to align the team on the schedule and priorities Monitor job assignments and technician availability throughout the day Maintain organized notes, documentation, and workflow accuracy in ServiceTitan Assist with onboarding and training future office staff Support outbound calls for follow-ups, reschedules, and customer communication Oversee ServiceTitan administrative workflow, including job closeout, batching, invoice accuracy, and preparing daily/weekly exports for
