About the Role Bilingual Spanish ( speaking and writing skills) Plastering Solutions Inc is a growing stucco and general contracting company seeking an experienced Office Manager to lead and coordinate our administrative operations. This role sits above our existing admin/secretarial support, giving structure, follow-through, and accountability to the day-to-day office functions so the ownership team can focus on business strategy, sales, and growth. The ideal candidate is highly organized, proactive, comfortable working across construction project management software, and confident coordinating with field crews, subcontractors, and clients. Key Responsibilities Administrative Coordination Supervise and support the administrative/front-office staff, delegating tasks and ensuring deadlines are met Manage correspondence, phone lines, and calendar scheduling for the ownership team Organize and maintain company records, licenses, insurance certificates, and contracts Project & Operations Support (Buildertrend) Ensure active jobs are kept current and accurate in Buildertrend, including proposals, cost catalog usage, and job documentation Coordinate communication and information flow between the project manager/estimator, field crews, and subcontractors Track and file signed contracts, change orders, and permit documentation Human Resources Support Coordinate onboarding for new field employees Track employee certifications, subcontractor W-9s, and compliance documentation (e.g., OSHA requirements) Collect and organize timesheets/hours in coordination with the CFO for payroll processing Billing & Financial Support Follow up on outstanding client invoices and payments Organize receipts and expense documentation for the CFO Coordinate accounts payable communication with vendors and suppliers Purchasing & Logistics Coordinate material orders and deliveries with suppliers Track equipment and tool inventory Schedule maintenance for company fleet vehicles Client Communication & Phone System Oversee the company's AI-assisted phone answering and scheduling system, reviewing booked appointments Serve as the human point of contact for calls and scheduling issues the automated system cannot resolve Qualifications 2+ years of experience in office management, administration, or operations coordination (construction industry experience strongly preferred) Strong organizational skills with the ability to manage multiple priorities and follow through independently Experience with project management or CRM software (Buildertrend experience a plus) Comfortable with basic bookkeeping/invoicing support and coordinating with a CFO or accounting lead Excellent written and verbal communication skills; bilingual English/Spanish preferred Proficiency with Microsoft Office / Google Workspace Ability to work on-site and coordinate directly with field crews and subcontractors What We Offer Competitive salary based on experience Opportunity to build and shape a growing company's office operations Direct collaboration with ownership on process improvement and company growth.
