We work in a fast-paced, collaborative environment with a modern office and casual work attire. We are seeking an organized, detail-oriented Office Executive to manage daily office operations and support our CEO and project managers. The right person takes initiative, solves problems, meets deadlines, and keeps information accurate across our systems. This role includes coordinating our pre-sale process, managing accounts payable and receivable, and helping projects move forward through clear communication and consistent follow-up. Sales commissions may be available; details will be discussed during the interview. What you'll do Maintain accurate contacts, leads, opportunities, quotes, contracts, and project records in Buildertrend, QuickBooks, and other company systems. Coordinate the pre-sale process and follow up on pending opportunities. Manage accounts payable and receivable, record invoices and expenses, and track payments. Review workflows and records for accuracy and completeness. Work with project managers to gather information, update records, and support daily operations. Prepare and track permit applications and inspections. Monitor and respond to emails; follow up with clients, city staff, vendors, and the project team. Coordinate change orders, material orders, and deliveries. Support the CEO with scheduling, expenses, logistics, and other daily business tasks. Required qualifications Strong organizational and time management skills, with the ability to prioritize multiple projects. A proactive, problem-solving approach and attention to detail. Strong written and verbal English communication skills. Experience managing calendars, expenses, logistics, and day-to-day office operations. Proficiency with Microsoft Office, particularly Excel and Word, and email tools. A positive attitude and strong service orientation. Preferred qualifications Experience with Buildertrend and QuickBooks Online. Spanish language skills. Basic accounting and construction knowledge. Experience coordinating permits or construction projects.
