We're growing—and we're looking for a detail-driven, proactive, and experienced Office Manager to help us scale sustainably by keeping our growing operations organized, efficient, and customer centric. The idea person will be excited about helping us innovate, evolve, and continue to deliver on our brand promises while living our values. Position Overview The Office Manager will be the cornerstone of our headquarters operations. This is a dynamic, multi-faceted role that combines office administration, bookkeeping, project cost tracking, marketing coordination, and project support. You'll be the power user of our job management platform (Buildertrend), manage our financial processes in QuickBooks and the external bookkeeper, and implement a CRM to ensure a seamless customer experience. Key Responsibilities Office Operations & Administration
  • Ensure smooth day-to-day operations of the office, maintaining a clean, professional, and productive workspace
  • Serve as the main point of contact for vendors, clients, and partners
  • Oversee ordering of supplies, scheduling of meetings, and general administrative support
  • Implement and improve office systems and processes for greater efficiency Bookkeeping & Project Cost Management
  • Manage accounts payable/receivable and bank reconciliations coordination in QuickBooks and the external bookkeeper
  • Track and report on job costs, budgets, and expenses across multiple projects
  • Assist leadership with monthly financial reporting and forecasting Platform & Systems Management
  • Act as the superuser and internal champion for Buildertrend (job/project management software), training team members and ensuring full utilization with subcontractors and partners
  • Implement and maintain CRM for lead tracking, client follow-ups, and marketing initiatives
  • Support system integrations and data accuracy across platforms with a focus on automation, best practices, and user experience from a client, partner, sub, and employee lens. Marketing & Client Communication
  • Coordinate marketing campaigns and content with leadership (including social media, newsletters, email marketing, website updates and in person events)
  • Help maintain and grow our digital presence to reflect our brand and attract new business
  • Support the creation of client proposals and project presentations Project & Team Support
  • Provide light project management support to leadership and field teams
  • Support the coordination of timelines, subcontractors, materials, and communication across teams
  • Uphold our customer service standards in every client interaction What We're Looking For
  • 3-5+ years of office management or operations experience (construction or trades industry preferred)
  • Strong experience with QuickBooks, CRM systems, and job management platforms (Buildertrend experience a major plus)
  • Highly organized with strong attention to detail and follow-through
  • A proactive problem-solver who thrives in a small team-oriented environment
  • Excellent communication and interpersonal skills
