Job Description
Overview We are seeking an experienced, highly organized office manager and legal operations administrator to help with accounts and firm operations. This role is central to keeping the office running efficiently, ensuring files, billing, and processes stay accurate, timely, and well-organized. This position requires strong judgment, discretion, and the ability to work in a fast-paced environment. Responsibilities Assist with legal and administrative tasks to ensure smooth day-to-day operations.
Core duties include:
Oversee billing systems and accounts; ensuring accurate data entry, document control, and file organization. Manage accounts receivables. Manage trust, client cost, and expense accounts. Track and manage key financial and operational deadlines. Track operational tasks, flag issues early, and ensure process efficiency. Maintain organized digital and physical files. Manage billing workflows. Serve as a professional point of contact for clients and vendors. Maintain strict confidentiality and professional standards at all times. Required Qualifications 4+ years of law firm accounting and administration. Proficiency with numbers and the ability to work accurately with data. Experience with accounts receivable, reconciliation, trust accounting, and expense tracking. Proven experience in a law firm environment, with a strong understanding of firm workflows and administrative best practices. Hands-on experience with legal case management and billing systems such as Clio and LawPay. Ability to manage multiple priorities independently and meet firm deadlines. Strong organizational skills and ability to handle high volumes of financial and legal documents accurately. Strong written communication skills, including proofreading and document review. Professional phone presence and polished client communication. Proficiency in various software, including Quickbooks, Microsoft Office, Outlook, and Adobe. Position Details Flexible Schedule.
