Art Works Downtown is a vibrant hub dedicated to fostering the visual arts for artists, art enthusiasts, and the public. By owning and managing a 40,000 sqft. building, we provide exhibits, events, art studios, membership and more. As a small nonprofit, we rely on a passionate team to help achieve our mission of providing an environment where visual arts thrive for the well-being of community. Position Overview The Part-Time Office Manager / Gallery Host provides administrative, CRM, front desk, volunteer, gallery, and event support to keep Art Works Downtown (AWD) organized and welcoming. An initial priority will be recruiting, retaining, and developing AWD's volunteer program. Reporting to the Executive Director, this public-facing role requires an organized, adaptable, and friendly person with a strong "can-do" attitude. Position ResponsibilitiesVolunteer Program Recruit, welcome, schedule, and communicate with volunteers. Grow and diversify AWD's volunteer base. Maintain volunteer records, availability, and assignments. Coordinate volunteer coverage for the gallery, events, and administrative needs. Track volunteer participation and retention. Office, CRM, and Communications Provide administrative and project support to the Executive Director and staff. Maintain organized files, records, office systems, and Asana tasks. Administer AWD's CRM and maintain accurate donor, artist, member records Build and maintain contact lists and send email campaigns. Support fundraising, exhibitions, outreach, and general operations. Front Desk and Gallery Hosting Serve as gallery host and oversee the front desk during assigned hours. Welcome visitors and answer questions about AWD's exhibitions, artists, studios, events, and programs. Sell artwork, process credit-card transactions, and track attendance. Keep the gallery and public areas welcoming, clean, and organized. Open, close, monitor, and secure the art center. Prepare gallery signage, labels, price lists, and visitor materials. Assist with exhibition installation and take-down Support opening receptions, 2nd Friday Art Walk, fundraising activities. Qualifications Organized, dependable, detail-oriented, and friendly. At least one year of customer-service experience required. Strong customer-service and communication skills. Proficient with Google Workspace, including Gmail, Drive, Docs, Sheets, and Calendar. Basic Microsoft Excel skills. Comfortable learning CRM and project-management systems. Flexible and able to manage changing priorities. Interest in the visual arts encouraged. Experience in office administration, volunteer coordination, gallery operations, front-desk work, or events preferred. Background check required.
Schedule & Hours:
This is a part-time, on-site position, Wednesday through Saturday, 11:00 AM-5:00 PM, approximately 24 hours per week. The Office Manager must be available for this regular schedule and on an as-needed basis for additional events, programs, meetings, and special activities throughout the year, including occasional evenings and weekends.
Compensation:
