Job Description:
Office Operations Coordinator We're partnering confidentially with a well-established property management company in Sausalito to find an Office Operations Coordinator who wants to grow into a bigger role. You'll be the person who makes the whole operation run smoothly, by owning the back office and helping support everything from vendor and tenant relationships to the financial details that keep the business healthy. If you're the kind of person who loves building systems, staying two steps ahead, and being the go-to problem-solver in a fast-moving environment, this is your seat. The Role As Office Operations Coordinator, you'll be the operational hub of the company
  • the connective tissue between tenants, vendors, contractors, and leadership. You'll manage the financial rhythm of the office (AP, credit card reconciliation, expense reporting), keep every file and system organized, and make sure nothing falls through the cracks. What You'll Do
  • Serve as the first point of contact for tenants and vendors
  • by phone and email
  • Own accounts payable and credit card reconciliation
  • Source and manage quotes for new construction projects
  • Track and follow up on insurance requirements across tenants and vendors
  • Manage contractor time cards and ensure accurate, timely processing
  • Build and maintain an organized filing system in Google Drive
  • Create, update, and maintain company forms, spreadsheets, and records
  • Prepare expense reports and support financial reporting
  • Help keep company policies and procedures current and consistent
  • Play a hands-on role supporting the management of commercial real estate properties What You'll Bring
  • High school diploma or equivalent
  • 3+ years of office or operations experience
  • real estate or construction a plus, not required
  • A knack for staying organized and prioritizing in a fast-paced, ever-changing environment
  • Excellent verbal and written communication skills
  • Proficiency with Word, Excel, and Google Drive
  • Sharp attention to detail and strong follow-through
