This role is a hybrid of traditional front desk responsibilities such as managing daily office operations, welcoming visitors, and supporting general administration along with providing light project support to our Civil Engineering Project Managers. The ideal candidate will be detail oriented, personable, and eager to support both client-facing and technical project needs. Key Responsibilities Greet clients, visitors, and vendors in a professional and welcoming manner. Manage incoming calls, emails, and mail distribution. Schedule meetings, maintain office calendars, and coordinate conference room use. Maintain front office organization, supplies, and general office upkeep. Assist with document preparation, scanning, filing, and record keeping. Provide administrative support to company leadership as needed. Assist Project Managers with document control, including drafting correspondence, formatting reports, and preparing submittals. Assist with project deadlines, deliverables, and follow up on outstanding items. Support the preparation of filling out template proposals, update spreadsheets, databases, and project tracking systems. Coordinate communication between project managers, clients, and subcontractors as directed. Perform light research and data entry for project tasks. Receive, review, and input invoices into accounting/project tracking systems. Record incoming checks and maintain payment logs. Work with accounting staff to ensure accurate records and timely processing. Qualifications Previous experience in an administrative, receptionist, or office support role. Experience supporting project teams, preferably in engineering, construction, or architecture (preferred). Strong organizational skills with the ability to manage multiple priorities. Proficiency in Microsoft Office Suite/Google Suite (Word, Excel, Sheets, Docs). Excellent written and verbal communication skills. Detail-oriented, reliable, and able to work independently as well as part of a team. Work Environment Full-time, on-site position. Collaborative, professional office environment.
