Job Description

Office Administrator - GWI - Chemical Engineer Company Position Summary The Office Administrator is responsible for supporting the daily administrative operations of a chemical engineering company. This role ensures efficient office management while coordinating with engineering, manufacturing, procurement, finance, quality, and operations teams. The ideal candidate is highly organized, detail-oriented, and capable of handling confidential information in a fast-paced technical environment. Administrative responsibilities in engineering companies often include document control, scheduling, purchasing support, and coordination across departments. Key Responsibilities Manage daily office operations and administrative functions. Answer and direct incoming phone calls, emails, and visitors. Schedule meetings, conference calls, and company events. Prepare reports, presentations, meeting minutes, and correspondence. Maintain engineering documents, project files, and controlled records. Coordinate travel arrangements for engineers, executives, and sales personnel. Order and maintain office supplies, PPE, and general office equipment. Support purchasing by preparing purchase requisitions and tracking orders. Coordinate shipping, receiving, and courier services. Assist Human Resources with onboarding, employee records, and training documentation. Maintain vendor databases and assist with supplier communications. Process invoices, expense reports, and assist Accounting with administrative tasks. Support Quality Management System (QMS) documentation, including
ISO 9001
procedures. Maintain confidential personnel and company records. Assist with customer communications and preparation of proposals and quotations. Coordinate facility maintenance, service contracts, and office safety compliance. Support engineering teams with project documentation and document control. Qualifications Associate's or Bachelor's degree in Business Administration, Office Administration, or related field preferred. 3-5 years of office administration experience, preferably in a chemical manufacturing, engineering, or industrial company. Excellent organizational and time-management skills. Strong written and verbal communication skills. Ability to multitask and prioritize competing deadlines. Professional customer service and interpersonal skills. Ability to maintain confidentiality.
