OFFICE MANAGER
Aspen Leaf Kitchens | Berthoud, Colorado Full-Time | Office / Administrative About Aspen Leaf Kitchens Aspen Leaf Kitchens is an established, local high-end custom cabinetry company specializing in European-style cabinetry and providing exceptional craftsmanship and service to our customers. Our team works together across Sales, Design, Engineering, Production, Project Management, Installation, and Administration to deliver a high-quality product and customer experience. We are looking for an organized, dependable, and detail-oriented Office Manager to join our team and oversee the day-to-day administrative and bookkeeping functions of our company. Position Summary The Office Manager is responsible for overseeing and coordinating the day-to-day administrative and bookkeeping operations of Aspen Leaf Kitchens. This position serves as a key resource for employees, management, customers, vendors, and other business partners, ensuring that office and financial functions are organized, accurate, timely, and handled professionally. The Office Manager will support the Operations Manager and ownership team with administrative, human resources, payroll, bookkeeping, employee, and company recordkeeping processes. This position requires someone who can work independently, maintain confidentiality, manage competing priorities, and take initiative to keep the office and administrative functions running smoothly. Key Responsibilities Office Administration Manage the day-to-day operations of the office. Maintain organized and accurate company records, files, and documentation. Manage office supplies, equipment, and general administrative needs. Answer and direct phone calls, emails, and other correspondence. Assist management with scheduling, meetings, communications, and special projects. Serve as a professional and helpful point of contact for employees, customers, vendors, and business partners. Bookkeeping & Financial Administration Perform routine bookkeeping and financial administrative duties. Process and maintain accounts payable and accounts receivable records. Enter, maintain, and reconcile financial information as assigned. Assist with invoicing, payments, deposits, and other accounting-related functions. Maintain accurate financial documentation and records. Work with management and outside accounting professionals as needed. Help identify and resolve discrepancies or administrative issues involving financial records. Human Resources Administration Coordinate new-hire paperwork and onboarding processes. Maintain confidential employee personnel files and records. Assist with employee onboarding and offboarding. Maintain employee information, attendance, and PTO records. Assist with payroll processing and payroll-related administration. Assist with employee benefits administration and communications. Help administer company policies and procedures. Assist management with employee reviews, documentation, and other HR-related needs. Maintain current employee forms, job descriptions, and other personnel documents. Company Support Work closely with the Operations Manager and ownership team. Communicate and coordinate with Sales, Production, Engineering, Project Management, Delivery, and Installation. Assist with customer and project-related administrative documentation. Help ensure important information is communicated accurately and in a timely manner. Identify opportunities to improve administrative processes and office efficiency. Handle confidential company and employee information with discretion. Able to maintain confidentiality and exercise good judgment. Willing to learn and understand the systems and processes used by Aspen Leaf Kitchens. Comfortable working in a fast-paced environment where priorities may change. Preferred Qualifications Previous office management or administrative management experience. Bookkeeping or accounting experience. Experience with payroll and employee administration. Experience in a small- to mid-sized business environment. Strong Microsoft Office or comparable software skills. Experience with QuickBooks software. Previous experience in construction, cabinetry, manufacturing, or another project-based business is a plus. Physical & Work Environment Requirements Ability to sit and work at a computer for extended periods of time. Ability to frequently use a computer, keyboard, mouse, telephone, calculator, copier, scanner, and other standard office equipment. Ability to stand, walk, bend, and reach throughout the office and company facility as needed. Ability to occasionally walk through the manufacturing facility while following all applicable safety requirements. Ability to occasionally lift or carry office supplies, files, packages, or other items weighing up to 20 pounds. Ability to work in an office environment located within or adjacent to a manufacturing facility, including occasional exposure to normal shop noise, dust, and changes in temperature.
