We're SignsRX, a custom signage and event branding company based in Colorado. Since 2011 we've designed, printed, and installed signage for sports organizations, large-scale event activations, fitness competitions, and thousands of gyms across the country. Our work shows up at the CrossFit Games, Rogue Invitational, Hyrox, F1, USA Weightlifting, USA Boxing, and USA Judo. At SignsRX, we don't just make signs. We build brands, elevate events, and show up for the clients who trust us with their biggest moments. We move fast, we do cool work, and we're a small team where every person matters.
ABOUT THE ROLE
We're looking for an Office Manager to be the hub of our shop. You'll be the first voice clients hear and the first face they see when they walk in. Behind the scenes, you'll make sure every job hits the shop floor complete and on the right account, every material is on the shelf before we need it, and every order goes out the door right. This role exists so our production team can focus on making great work and our owner can focus on growing the business. If you love being the person who keeps everything organized and moving, this is your seat.
Front Desk and Client Communication:
Answer phones and emails, greet walk-ins, and route requests to the right person. Be a friendly, reliable first point of contact for clients, vendors, and anyone who walks through the door.
Order Intake and Job Folders:
Review incoming orders and turn them into complete job folders for production: specs, sizes, quantities, materials, proofs, and due dates. Catch missing details before they become problems on the shop floor.
Production Flow:
Print work orders, keep the daily production queue organized, and hand our shop a clear, prioritized stack so they can stay focused on making.
Shipping and Fulfillment:
Create shipping labels on the correct client account, coordinate pickups and deliveries, pack orders, and make sure every customer gets tracking.
Purchasing and Inventory:
Order materials and supplies, track inventory, follow up with vendors, and keep the shop stocked so we never run short or overbuy.
Invoicing and AP:
Pay vendor invoices, keep AP organized in QuickBooks, and help get client invoices out on time.
Event Travel:
Book flights and hotels for our event and install teams, and keep travel itineraries organized.
Order System:
Enter and update jobs in our order management system so the team always knows where every job stands.
Quality Control:
Check finished jobs against the job ticket before they ship or install. If it's not right, it doesn't leave.
Shop Support:
Jump in on prep, packing, and light production when it's busy. Help keep the shop clean, organized, and stocked.
Owner Coverage:
Keep things moving while the owner and event team are on the road. Be the steady presence at home base during event season.
EXPECTED OUTCOMES
First 15
Days:
Learn our products, order system, vendors, and production flow. Shadow the front desk, the shop floor, and order processing. Within 30
Days:
Own phones, email, and walk-ins. Every new order becomes a complete job folder. Materials ordered before jobs need them. By Day 45: Own AP, shipping, and event travel. QC on every job going out. Tracking sent on every shipment. By Day 90: The owner is no longer the bottleneck on daily admin. Missed calls are rare, the shop is never waiting on missing details, and you're ready to take on more.
NEED TO HAVE
Experience:
2+ years in an office, operations, administrative, or coordinator role.
Detail Orientation:
You check the account before you print the label. Wrong size, wrong color, wrong address: you catch it.
Follow-Through:
You close loops without reminders. If you say it's handled, it's handled.
Multitasking:
Comfortable juggling phones, email, walk-ins, and a stack of orders without dropping anything.
Communication:
Clear, friendly, and professional on the phone and in writing.
QuickBooks:
Basic bookkeeping or accounts payable experience.
Tech Comfort:
Picks up new software quickly. Google Workspace or similar, plus order or job management tools.

Passionate:
You coach, train, or follow fitness and events and get why what we do matters. Coaching at a nearby gym? This role can flex around your class schedule.
