Exempt Position Summary The Business Office/Human Resources Manager is responsible for overseeing the daily administrative, financial, payroll, and human resource functions of the nursing home. This position ensures compliance with federal, state, and local regulations while supporting the facility's mission of providing high-quality resident care. The Business office/HR manager serves as a key member of the leadership team and promotes a positive work environment through effective employee relations, recruitment, retention, and business office operations. Essential Duties and Responsibilities Human Resources Functions Manage the recruitment, hiring, onboarding, and orientation processes for all facility employees. Maintain employee personnel files and ensure compliance with regulatory requirements. Process and monitor employee licensure, certifications, background checks, and annual compliance requirements. Coordinate employee training, education, and mandatory in-service programs. Promote employee engagement, retention, and recognition initiatives. Maintain confidentiality of employee and resident information. Business Office Functions Oversee payroll processing and ensure timely and accurate employee compensation. Manage accounts payable, petty cash, and resident trust accounts in accordance with company policies. Assist with budgeting, financial reporting, and monitoring of facility expenditures. Maintain accurate records related to admissions, discharges, resident billing, and collections. Support census management and collaborate with billing and reimbursement departments. Prepare and maintain administrative reports as requested by leadership. Ensure business office practices comply with applicable healthcare regulations and accounting standards. Administrative Responsibilities Serve as a resource to employees regarding HR policies, payroll, benefits, and workplace concerns. Participate in management meetings and quality improvement initiatives. Assist with survey preparation and regulatory inspections. Develop and implement policies and procedures related to human resources and business office operations. Foster positive relationships with residents, families, employees, vendors, and community partners. Perform other duties as assigned by the Administrator. Experience Minimum of 2-3 years of experience in human resources, payroll, business office management, or healthcare administration. Experience in a long-term care, skilled nursing, assisted living, or healthcare setting preferred. Knowledge of payroll systems, HRIS platforms, and healthcare regulations preferred. Knowledge, Skills, and Abilities Strong understanding of human resources principles and employment law. Knowledge of payroll processing and basic accounting practices. Excellent organizational, communication, and interpersonal skills. Ability to manage multiple priorities and meet deadlines. Proficiency in Microsoft Office Suite and payroll/HR software. Strong problem-solving and conflict-resolution abilities. Ability to maintain strict confidentiality. Physical Requirements Ability to sit, stand, walk, bend, and lift up to 25 pounds occasionally. Ability to use standard office equipment, including computers, telephones, and printers. Ability to move throughout the facility as needed. Working Conditions Office environment within a nursing home or long-term care facility. Frequent interaction with residents, families, staff, healthcare professionals, and regulatory agencies. May require occasional evening or weekend work to support facility operations.
