The ideal candidate will be proactive, detail-oriented, and possess exceptional communication skills to manage a variety of tasks efficiently. Duties Serve as the first point of contact at the front desk, greeting visitors and handling inquiries with professionalism and courtesy Manage multi-line phone systems, directing calls accurately and providing excellent customer support Oversee calendar management, scheduling appointments, meetings, and coordinating events seamlessly Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents and records Perform data entry and bookkeeping tasks using QuickBooks and other accounting software to support financial record-keeping Handle correspondence through email, phone, and written communication with clarity and proofreading accuracy Support office management functions including supply ordering, inventory control, and facility maintenance coordination Experience Must know service Titan program!!! Proven experience in office administration or clerical roles with a strong background in office management Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for document creation and collaboration Familiarity with QuickBooks for bookkeeping and basic financial tasks Bilingual abilities are highly desirable to serve diverse client needs effectively Excellent organizational skills with the ability to prioritize tasks efficiently in a busy environment Strong typing skills coupled with good computer literacy for data entry and document proofreading Prior experience in customer service or personal assistant roles that involved calendar management and phone etiquette Join us as a Secretary / Office Manager where your organizational talents will shine!
