In this vital role, you will be the backbone of our daily operations, ensuring that administrative functions run smoothly and efficiently. Duties Manage front desk operations, including greeting visitors, answering phone, and directing calls with professional phone etiquette. Oversee calendar management and scheduling for meetings, appointments, and events using productivity software such as Microsoft Office and Google Workspace. Perform data entry tasks with accuracy using spreadsheets and word processing tools; maintain organized filing systems both digitally and physically. Handle clerical responsibilities such as proofreading documents, preparing correspondence, and managing office supplies inventory. Support bookkeeping activities including invoicing, expense tracking, and basic financial record keeping using QuickBooks or similar software. Assist with client communication by providing excellent customer support via phone, email, or in person; address inquiries promptly and professionally. Coordinate office management tasks such as maintaining office equipment, managing office safety protocols, and ensuring a clean, organized workspace. Experience Proven experience in an administrative or clerical role within an office environment; prior experience as a receptionist or personal assistant is highly valued. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and familiarity with productivity software. Demonstrated organizational skills with the ability to multitask effectively in a fast-paced setting. Excellent communication skills, both verbal and written; bilingual abilities are a plus for serving diverse clients. Experience handling multi-line phone systems, data entry, filing systems, and calendar management. Knowledge of office management best practices combined with technical proficiency in office equipment and software tools.
