We are seeking a highly organized, motivated, and detail-oriented Office Manager / Executive Assistant to support our CEO and help streamline daily operations as our company continues to grow. Position Overview The Office Manager / Executive Assistant will play a critical role in the day-to-day operations of the company. This individual will be responsible for managing administrative tasks, assisting with billing, handling client communications, maintaining schedules, and helping implement and learn company software systems. The ideal candidate is organized, professional, proactive, and capable of managing multiple priorities in a fast-paced environment. Responsibilities Executive Support Manage and maintain the CEO's calendar and daily schedule Coordinate meetings, appointments, and travel arrangements Monitor and organize CEO's email inbox Draft and respond to emails professionally Prioritize communications and follow up on action items Office Management Answer and direct incoming phone calls Manage office correspondence and filing systems Coordinate with clients, subcontractors, vendors, and consultants Maintain organized project and company records Assist with company operations and administrative procedures Billing & Financial Administration Create and send invoices Track accounts receivable and payment status Assist with billing, collections, and vendor payments Maintain accurate financial records Coordinate with bookkeeping and accounting staff Software & Systems Management Learn and manage company software platforms Assist with data entry and reporting Help improve office systems and workflows Maintain project management and CRM databases Qualifications Previous experience as an Office Manager, Executive Assistant, Administrative Assistant, or similar role Strong organizational and multitasking skills Excellent verbal and written communication skills Professional phone and email etiquette Proficient with Microsoft Office and Google Workspace Quick learner with technology and software systems Ability to work independently and solve problems proactively Experience with construction, real estate, or home building industries is a plus but not required What We're Looking For Highly organized and detail-oriented Strong sense of urgency and follow-through Professional and trustworthy Positive attitude and team-oriented mindset Ability to keep confidential information private Someone who wants to grow with a rapidly expanding company Compensation & Benefits Competitive salary based on experience Paid time off Growth opportunities within the company Long-term career potential with a growing home builder
