Full-Time (Administrative) Chabad of Stamford is seeking a detail-oriented, proactive, and organized Office Administrator to join our team. This role is the heartbeat of our daily operations, ensuring that our community members are supported, our finances are meticulously tracked, and our events run smoothly. If you are a tech-savvy multitasker with a heart for community service, we want to hear from you! This position helps ensure the office is stocked, organized, maintained, and running efficiently, with phones answered promptly and community needs handled professionally.
KEY RESPONSIBILITIES
Financial & Data Management CRM management : Maintain accurate records for community members, families, and payments. Ensure all data is up-to-date and matches financial processing systems. Generate reports as needed. Payment & donation
Processing :
Manage daily credit card settlements through our processing software. Reconcile transactions and manually enter contributions as needed.
Donation Handling :
Process checks and cash donations, ensure proper classification, and issue timely donation receipts.
Administrative & Technical Support Communication:
Monitor office voicemails and respond to inquiries promptly.
Digital Maintenance:
Assist with basic software maintenance and website-related updates.
Office Logistics:
Monitor and restock office, maintain office cleanliness, organization, and standards, oversee room rentals, and help ensure the office environment remains professional and functional.
Programming & Community Support Weekly Programming:
Oversee the setup of on-site programs, including refreshments and materials. Community programs coordination : Manage the "Loaves of Love" program on Fridays — coordinating volunteers, packaging deliveries, managing challah dough orders, and coordinating the "Breakfast for new moms" as needed. Event admin : Create registration spreadsheets, manage "at-the-door" payments, prepare signage and clipboards for various Chabad events, assist with event follow-ups, registration tracking, post-event updates, and billing. Kiddush calendar and sponsorship : Maintain the annual Kiddush calendar and print labels for sponsors.
Printing & Materials Weekly Distribution :
Ensure the Rabbi's weekly materials, email and communications are printed and distributed.
Program Materials :
Print labels, envelopes, and promotional signs for various holidays and programs.
Program Support Materials :
Assist with the preparation and coordination of materials for Yom Tov events and community programs.
General Administrative Support :
Handle Amazon returns and other recurring office support tasks as needed. Support for weekly office meeting agendas
Executive Assistant Support:
Provide executive assistant support to the entire leadership team as needed. Qualifications Tech Proficiency :
Strong experience with CRM systems, Microsoft Excel/Word, and Google Drive. Comfortable with general hardware troubleshooting and office technology.

A "knack" for keeping physical and digital files in perfect order. Attention to
Detail :
Ability to spot duplicate payments or misclassified invoices instantly.
Reliability :
Comfort managing recurring weekly and monthly deadlines without supervision.
Interpersonal Skills :
A friendly, professional demeanor when interacting with community members, volunteers, and leadership.
