Office Administrator Higgins Group Real Estate - 4.7 Westport, CT Job Details Full-time $25 - $30 an hour 11 hours ago Qualifications Filing Executive administrative support Real Estate License Real estate administrative experience Office management Full Job Description Position Overview We are a boutique, family-owned luxury real estate brokerage (9 offices / around 400 agents) seeking a polished, highly organized Office Administrator to oversee daily operations and support our agents and leadership team. This non-broker, operational role is responsible for maintaining the elevated standards, discretion, and white-glove service that define our brand. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, high-expectation environment. This individual will play a key role in ensuring operational efficiency, compliance, agent support, and seamless execution of transactions from listing through closing. Key Responsibilities Operations & Office Management Oversee daily office operations and maintain a professional, luxury-standard environment Manage vendors, resources, and office systems while anticipating and resolving needs Agent Support & Transactions Provide administrative and operational support to agents and leadership Manage transactions from listing to closing with accuracy and compliance Maintain files, track deadlines, oversee systems, and support commissions/invoicing Assist with reporting, marketing materials, social media coordination, and open houses Compliance & Risk Management Ensure adherence to all real estate, advertising, state laws and brokerage regulations Review listings and marketing for legal and brand compliance Training & Development Support onboarding and ongoing agent training Assist with systems, workflows, and paperwork guidance Licensing & Education Track licensing, renewals, and continuing education requirements Maintain accurate compliance records and monitor deadlines Professional Representation Serve as a key point of contact with professionalism and discretion Uphold the brokerage's reputation for excellence Qualifications Real estate or luxury administrative experience required Strong knowledge of transactions and compliance Highly organized, detail-oriented, and able to multitask Excellent communication and discretion Proficient in Microsoft Office, MLS, CRM, and transaction platforms (Dotloop preferred); Canva, Capcut and social media tools a plus Requirements Non-broker role; active real estate license required Flexibility for occasional after-hours needs Compensation & Hours Around 30 hours per week $25-$30/hour + performance incentives Significant operational role within a respected luxury brokerage Why Join Us Join a family-owned luxury brokerage built on relationships, precision, and exceptional service.
