Job Description

Job Summary The Office Manager oversees the day-to-day operations of Housing Alliance DE's office in Wilmington, DE, and supports administration and operational processes related to HR, events, Board functions, and financial management. The office manager works closely with and reports to the Executive Director. Qualifications Associates or Bachelor's degree. Prior adminsitrative and/or operational support work experience. Excellent problem solving and decision-making skills. The ability to learn quickly and take initiative to complete work. Excellent written and oral communication skills. Excellent computer skills, including Microsoft Office products and use of apps and other software (or the ability to quickly learn), such as Canva. Ability to handle many responsibilities and prioritize work. Attention to detail and excellent organization skills. Able to handle HR and financial information with sensitivity and professionalism, and to maintain confidentiality. Duties 1.
Financial Management Support Duties:
Responsible for performing day-to-day financial support management tasks, like preparing receivables, payables, and staff reimbursement and mileage requests for processing 2.
Operations & Facilities Support Duties:
Act as liaison to office building/property management. Responsible for the purchase of office supplies and equipment. Responsible for resolving any facility-related needs or projects in HAD's office (getting mail, organization of files and supplies, internet service, furniture, badges, etc.). Act as HAD's liaison to IT support company, and support staff in getting their IT issues resolved. Provide support for agency events (printing, publicity, purchasing, logistics, day-of support). 3.
Administrative Support Duties:
Provide administrative support to the HAD Board of Directors (scheduling meetings/events, filing Board meeting records, board communications, etc.) Assist with onboarding processes for new hires as needed, such as the completing and filing of onboarding paperwork and benefits enrollment. Assist Executive Director and program directors with communications as needed (agency newsletters, fliers, etc). Organize agency files and ensure staff have easy access to important agency documents and information. 4. Embody the mission of Housing Alliance Delaware in all work done on behalf of the agency. 5. Provide internal agency support for program staff, as someone who is responsive to the day-to-day administrative and operational needs of staff. 6. Maintain professional knowledge of best practices in nonprofit management. 7. Participate with other staff in the overall smooth operation of the Agency. 8. Other duties as assigned by direct supervisor
Pay:
$55,000.00 - $58,000.00 per year
