Full Job Description Description:
Affordable Air & Heat is a trusted local HVAC and plumbing company with more than two decades of experience delivering top-quality service to our community. We are hiring an experienced Office Administrator to join our team. This is a great opportunity to get in with a fast growing business where everyone on the team is valued. As an Office Administrator, you will be responsible for contributing to the overall success of the business. This position plays a vital role in keeping our office operations running smoothly by handling a variety of administrative and clerical tasks, customer service, and scheduling support.

Responsibilities Include:
Answer incoming phone calls; respond to customer inquiries Assist in coordinating service appointments Follow up calls on estimates left with customers Prepare cash deposits and print checks Prepare weekly reports and monthly statements Receive, review, and input customer billing information into work orders Prepare and issue accurate customer invoices based on complete work orders Assist in processing payments, tracking receivables, and tracking payables Acquire necessary permits for scheduled projects Other duties as assigned
Requirements:
2+ years of experience in an administrative role, preferably in a trades or construction environment Attention to detail Strong organizational and multitasking skills Excellent verbal and written communication Excellent customer services skills Proficient in Microsoft Office (Word, Excel, Outlook) and office equipment Familiarity with scheduling or field service software (e.g., ServiceTitan, Jobber, or similar) a plus Valid Notary Public commission in the State of Florida, or willingness to obtain upon hire
