Job Description
Job Overview We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for overseeing daily office operations, ensuring efficient workflow, and providing support to staff and management. This role requires excellent communication skills, strong organizational abilities, and a proactive approach to problem-solving. Experience in office management management is a plus. Duties Manage vendor relationships and oversee procurement processes to ensure timely delivery of supplies and services. Maintain an organized office environment by implementing effective office management practices. Oversee calendar management for executives, scheduling meetings, appointments, and ensuring all necessary materials are prepared in advance. Coordinate schedule management for the team, ensuring optimal allocation of resources and time. A/R and A/P Budgeting Inventory Payroll Assist with budgeting tasks by tracking expenses and preparing reports for review. Communicate effectively with internal teams and external partners to facilitate smooth operations. Ensure city and county compliance with company policies and procedures while maintaining confidentiality of sensitive information. Requirements Proven experience 2 years + on office administration. Bilingual - English and Spanish Quickbooks experience Google drive Microsoft office proficiency Customer Service experience Strong organizational skills with the ability to manage multiple tasks simultaneously. Excellent communication skills, both verbal and written, to interact professionally with all levels of staff and clients. Familiarity with elevator office management practices is a plus but not required. Proficiency in calendar management tools and office software applications. Ability to work independently as well as part of a team in a fast-paced environment. A proactive approach to problem-solving with strong decision-making capabilities.
