As an Office Administrator , you will be the control tower owning the daily rhythm, safeguarding organization, and ensuring leaders and teams operate without friction. Job Summary The Office Administrator is responsible for supporting the daily administrative operations of the recycling facility by coordinating office activities, maintaining accurate records, assisting customers and vendors, and providing administrative support to plant management. This role ensures efficient office operations while promoting excellent customer service and compliance with company policies. Key Responsibilities Answer and direct incoming phone calls, emails, and visitors in a professional manner. Maintain and organize office files, records, and confidential documents. Prepare reports, spreadsheets, correspondence, and other administrative documents. Process invoices, purchase orders, receipts, and other financial paperwork. Coordinate with vendors, customers, and transportation providers regarding deliveries, pickups, and scheduling. Assist with employee onboarding documentation, timekeeping, payroll submissions, and personnel records. Maintain inventory of office supplies and order materials as needed. Enter and update data accurately in company databases and software systems. Assist plant management with scheduling meetings, preparing reports, and coordinating daily administrative functions. Support scale operations by entering customer and load information, generating tickets, and maintaining transaction records (if applicable). Ensure compliance with company policies, environmental regulations, and safety procedures. Assist with special projects and perform other administrative duties as assigned. Qualifications High school diploma or GED required; Associate's degree in Business Administration or a related field preferred. Minimum of 2 years of administrative or office support experience, preferably in a manufacturing, recycling, logistics, construction, or industrial environment. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint). Experience with accounting, payroll, ERP, or inventory management software is preferred. Excellent organizational, multitasking, and time-management skills. Strong verbal and written communication skills. High level of accuracy and attention to detail. Ability to maintain confidentiality and exercise sound judgment. Preferred Skills Experience in a recycling, manufacturing, warehouse, or industrial setting. Knowledge of shipping, receiving, or scale operations. Customer service experience with vendors and commercial customers. Bilingual (English/Spanish) is a plus. Strong problem-solving skills and ability to work independently. Physical Requirements Ability to sit, stand, and walk throughout the workday. Ability to occasionally lift up to 25 pounds. Ability to work in an office environment located within an active industrial/recycling facility, with occasional exposure to dust, noise, and outdoor conditions.
